We wrote this, and we're on it. Take that bias seriously — we do. We judged every option on the same four things: who actually does your books, pricing transparency, fit for owner-led businesses, and whether you get advice or just data entry. Where a competitor is the better fit, we say so.

There is no single "best" bookkeeping service — there's a best one for how your business runs. Simple books inside QuickBooks: QuickBooks Live. Venture-backed startup: Pilot. Want tax and books in one shop: a local CPA firm. Want one senior person who closes your books monthly and tells you what they mean: a fractional firm like ours.

QuickBooks Live

Best for: Simple books, already on QuickBooks Online

Intuit's own add-on pairs you with a bookkeeper from their network to categorize and reconcile inside QuickBooks. Tiered pricing scales with your monthly expenses. A reasonable 'keep the file tidy' option — but it's a categorization service, not an advisory one.

Watch for: You won't get job costing or a standing monthly conversation about what your numbers mean.

Bookkeeper360

Best for: Growing companies that want dashboards plus service

A US-based firm combining bookkeeping with an app for reporting dashboards. Offers monthly plans and add-ons like payroll and tax. A fit if you want a tech-forward firm and your needs are trending toward a finance department.

Watch for: Per month pricing climbs with features; overkill for many owner-led shops under $2M.

Pilot

Best for: VC-backed startups

Pilot is built around startups — burn reports, investor-ready financials, R&D tax credits. If you're raising venture money, they speak that language fluently.

Watch for: If you're a profitable owner-led business rather than a startup, you're not their center of gravity.

A local CPA firm

Best for: Owners who want tax and books under one roof

Some CPA firms offer monthly bookkeeping alongside tax. One relationship, one handoff. Just confirm they actually do monthly closes — many firms mean 'we'll clean it up at year-end,' which is a very different service.

Watch for: Ask who touches your books monthly and what you receive each month, in writing.

Best for: Owner-led businesses that want one senior person and straight answers

Fractional bookkeeping and job costing, run by Shannon Price — 10+ years inside small-business books. Fixed monthly pricing starting as low as $600, books closed by the 15th, and a monthly conversation about what's actually driving your profit.

Watch for: We're a fit if you want a named person, not a platform. If you need a full finance department, we're honest enough to say so.

One cautionary note: continuity matters.

In December 2024, Bench — then one of the largest online bookkeeping providers — abruptly shut down before being acquired, leaving thousands of small businesses scrambling for their records mid-tax-season. Whoever you choose, ask the question: if you disappear, what happens to my books? With a fractional partner, the answer should be "they're your books, in your QuickBooks, that you own."
